Reporting to the Chief Operating Officer, the Operations Coordinator is responsible for supporting operational leadership to allow management team members to focus on operationalizing clinics that create and sustain the environment for Physicians and Providers to deliver excellence in patient care. This position will accomplish these goals by performing a variety of administrative duties in support of clinic operations.

Essential Functions and Duties

  • Administrative support for the COO
  • Coordination and support of COO Committees – including but not limited to agendas, setup, and minutes
  • Coordination and support of operational leadership meetings – including but not limited to agendas, setup, and minutes for Ops Directors’ and Ops Managers’ meetings
  • Maintenance and management of operational leadership calendars
  • Develop and maintenance of operational yearly event calendar to ensure deadlines are anticipated, met, planned for and executed upon
  • Works directly with operational Director responsible for clinical compliance to generate policies for MD/Committee approval
  • Maintains workflow and delivery status of operational projects for the operational leadership team
  • Handles variety of matters involving contact with various team members, board members, medical committees, and the public
  • Composes correspondence and disseminates to appropriate individuals. Answers phones, questions, and requests
  • Processes expense sheets and invoices as needed
  • Prepares various documents and handles confidential matters in accordance with clinic rules, regulations, and procedures
  • Other duties as assigned



  • Knowledge of organizational policies, procedures, and systems

  • Knowledge of research methods and procedures sufficient to compile data and prepare reports
  • Knowledge of grammar, spelling, and punctuation
  • Knowledge of purchasing, budgeting, and inventory control

  • Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, and appropriate practice management software
  • Ability to standard office equipment including computers, fax machines, copiers, printers, telephones, etc.

Education and/or Experience

High school diploma or equivalent. Some college preferred.

  • Knowledge and understanding of basic medical terminology
  • Experience with Microsoft Office Applications
  • Ability to work in a fast-paced and evolving healthcare environment
  • High degree of problem-solving and critical thinking skills
